9 Best Church Management Software of 2026

By the TopToolAdvisor research desk · Updated November 6, 2026 · Next review December 21, 2026 · 9 products scored

Our pickPlanning CenterGrowing churches that want to start free and pay only for the ministries that outgrow a free tier.8.9

Our pick in brief

Planning Center is the strongest all-round choice, with a free member database, a free app and a free tier on every product, so churches pay only for the ministries that outgrow it. ChurchTrac is the best value for small and mid-size churches because fund accounting, a website and check-in come in every plan from $29 a month. Breeze ChMS is the easiest to learn at a flat $72 a month, and ChMeetings is the cheapest full system with a free plan for 50 people. Rock RMS is the most capable option for large churches with technical staff, Elvanto charges only for active adults, Churchteams centers on groups and texting, Pushpay ChurchStaq serves large multisite churches that put giving first, and Servant Keeper suits record-focused church offices.

Quick answer

Planning Center is the best church management software for growing churches in 2026, with free tiers and paid products from $15 a month; ChurchTrac suits small and mid-size churches that want accounting included, from $29 a month. ChMeetings has a free plan for up to 50 people and paid plans from $12 a month.

This list is for pastors, church administrators and ministry leaders choosing one system for member records, child check-in, small groups, volunteers and giving. We compared documented features and published prices for 9 church management systems and scored each on features, ease of use and value. Prices are the cheapest paid plan in US dollars as shown on the vendor's own page on the date we checked; where a vendor sells by quote or shows prices only as an image, the price is marked as pending. Most church software is priced by headcount, so check how each vendor counts people (names, active adults, attendees or check-ins) before comparing headline prices.

  1. No. 1, our pick

    Planning Center

A set of separate church products for people, groups, check-ins, services, giving and calendar, each with its own free tier and monthly plan.

    Price

Free plans for every product; paid tiers from $15 per month per product, such as 30 daily check-ins

Quoted from the Planning Center pricing page on November 6, 2026: 30 Daily check-ins $15/mo.

Planning Center ranks first because it lets a church run members, check-in, groups, worship scheduling and giving in one account while paying only for the parts it uses heavily. The People database and reporting are free with no record limit, and so is the Church Center member app. Each other product has its own free tier: 10 daily check-ins, 15 group members, 5 service team members and 10 donations a month. Past those limits, plans start at $15 a month per product, for example 30 daily check-ins or 75 group members, and rise to $115 for 500 daily check-ins. Every Check-Ins plan includes all features and unlimited kiosk stations. Giving runs at 2.15% plus 30 cents per card gift in the US. The trade-off is that a busy church moving four or five products to mid tiers can pay more than an all-in-one flat rate, and there is no fund accounting, so the treasurer still needs another tool.

    Strengths

    • +The member database, reporting and Church Center app cost nothing
    • +Each product scales on its own, so a church pays only where it is busy
    • +No contracts, setup fees or cancellation fees

    Drawbacks

    • −Costs add up when several products move off their free tiers
    • −Text messages are bought as credits at $0.02 per text
    • −Accounting is not included, so churches need a separate ledger

    Price

From $29 per month for 75 names, up to $119 for unlimited names; 10% off when paid yearly

Quoted from the ChurchTrac pricing page on November 6, 2026: Starting at $29/month

ChurchTrac takes second place because it bundles the features a small church usually buys from three vendors. Every plan includes people and family records, fund accounting, giving, a website and app, child check-in, worship planning, groups and events, volunteers, registrations, automations and human support. Pricing depends only on the number of names you track: $29 a month for 75 names, $59 for 250, $99 for 1,000 and $119 for unlimited, with 10% off for paying yearly. The 30-day trial needs no credit card, and ChurchTrac imports people and families for you from a spreadsheet or your old system. Optional one-time services include a website and app build from $477 and accounting setup from $399. Weak spots: two-way texting, group messaging and a dedicated number sit in the Enhanced Messaging add-on, and churches with very large or multisite operations may want the deeper permissions and reporting found in Planning Center or Pushpay.

    Strengths

    • +Accounting is included, which most rivals sell separately or skip
    • +Every plan size includes the full feature set
    • +30-day free trial without a credit card

    Drawbacks

    • −Price steps up with the number of names tracked
    • −Two-way texting needs the Enhanced Messaging add-on
    • −Optional website build and accounting setup services cost extra

    Price

$72 per month flat for church management and free giving; Worship Tools add-on $29 per month

Quoted from the Breeze ChMS pricing page on November 6, 2026: $72 per month

Breeze, now sold as Tithely Church Management powered by Breeze ChMS, has a reputation for being easy to pick up, and its pricing is equally simple: $72 a month with no tiers, no setup fees and no contract. That price covers unlimited admin users and contacts, member management, volunteer scheduling, service planning, the church calendar, groups, an email editor with blasts and newsletters, automations and follow-ups, check-in with name tags, attendance and giving reports, and an admin mobile app. Online giving through Tithely has no monthly fee. Texting includes 250 messages a month, then $10 per 500. Worship Tools add $29 a month, and a bundle with Tithely church apps and websites costs $119 a month. Breeze lacks fund accounting, so the books live elsewhere, and a church of 60 people pays the same $72 as a church of 1,000, which makes ChurchTrac or ChMeetings cheaper for small congregations.

    Strengths

    • +One flat price with no tiers based on church size
    • +Free phone and email support
    • +Free data import and export

    Drawbacks

    • −$72 a month is high for very small congregations
    • −Worship Tools cost an extra $29 a month

    Price

Free plan for up to 50 people; paid from $12 per month for up to 100 people

Quoted from the ChMeetings pricing page on November 6, 2026: Paid plans start at $12 per month for up to 100 people

ChMeetings is the cheapest full system on this list. The Free Forever plan covers up to 50 people, and paid plans run from $12 a month for 100 people to $25 for 250, $40 for 500, $50 for 1,000 and $60 for unlimited people. Annual billing charges 10 months instead of 12. Every plan includes people management, a calendar, contribution tracking, ministries, a member portal, a church app, events and check-in, groups, a form builder and follow-ups. Paid plans add online giving and pledges, event payments, volunteer scheduling and worship planning, and accounting arrives on the Small plan. Data migration is free. The main extra cost is messaging: texts and voice messages started from ChMeetings are bought in packages, though you can send them free through your own phone plan. The interface covers a lot of ground, so it takes a little longer to learn than Breeze.

    Strengths

    • +Permanent free plan for up to 50 people
    • +Paid plans from $12 a month, with 2 months free on annual billing
    • +Free data migration from your current system

    Drawbacks

    • −Accounting starts on the $25 Small plan

    Price

From US$19 per month billed monthly for up to 50 active adults; 20% off annually; US$149 setup cost

Quoted from the Elvanto pricing page on November 6, 2026: US$ 19 billed monthly

Elvanto charges by active adults, defined as people who attend, volunteer or give, and stores children, community contacts and archived people at no charge. That makes it cheaper than it first looks for family-heavy congregations. The 50 Plan is US$19 a month billed monthly, the 100 Plan is US$39, and 200 active adults cost US$78, with 20% off for paying a year upfront. Every plan includes all features, from worship planning and rostering to pastoral care, children and youth check-in and financial records, and there are no add-on modules. A US$149 setup cost applies, which covers help with data migration. Elvanto is a Tithely company and supports seven interface languages, which suits international churches. The downsides are the setup fee and a price curve that climbs steeply for larger churches compared with Breeze's flat rate.

    Strengths

    • +Children and non-active contacts are stored free
    • +No contracts and upgrades or downgrades anytime
    • +20% discount for paying 12 months upfront

    Drawbacks

    • −US$149 setup cost on every plan
    • −Price rises quickly past 100 active adults

    Price

No license fees; churches pledge a suggested $4.45 per average weekend attendee per year, plus hosting costs

Quoted from the Rock RMS pricing page on November 6, 2026: we ask for only $4.45 / avg weekend attendee

Rock RMS is the most capable system here for churches that can staff it. It is open source software from a nonprofit, so there is no license fee; instead each church pledges a suggested $4.45 per average weekend attendee per year, and cloud-hosted churches pay that donation plus a hosting fee through a partner. Grants exist for churches that cannot pay. Features cover check-in, metrics and reporting, prayer, finance tools, event registration, email, SMS and push messaging, websites, mobile and TV apps, groups, steps, an LMS and a workflow builder with AI agents. The vendor says Rock powers 10 of the 12 largest churches in the US. The catch is effort: Rock rewards churches with a developer or an IT-minded administrator, and a small church without that help will find hosted systems such as Planning Center or ChurchTrac much quicker to run.

    Strengths

    • +No license fees and no contract
    • +Very deep customization through workflows and Lava templates
    • +Powers 10 of the 12 largest US churches, per the vendor

    Drawbacks

    • −Needs a technical team or a paid hosting partner
    • −Setup and configuration take far longer than hosted systems
    • −Support comes from the community and partners rather than a vendor help desk

Churchteams is a good fit for churches that run on small groups and texting. Its core package, the Churchteams Essentials, covers the member app, volunteers, check-in, registration, groups, communication, contributions and workflows, and plans are priced by the number of people in your database. The All-Star, MVP and Homerun plans include Text-to-Church, which gives the church a data line for sending and receiving texts plus 500 outgoing messages; after that texts cost 2 cents each unless you buy a bulk package, and MMS messages bill at three times the normal rate. Check scanning and archive storage cost $15 a month, and small data imports are free. A 30-day trial includes every feature. We could not confirm plan prices because the pricing page shows them only as an image, so compare a written quote against ChurchTrac and Breeze before signing.

    Strengths

    • +Texting is built in on higher plans
    • +Free data import for small and simple databases
    • +30-day free trial with Text-to-Church, no credit card

    Drawbacks

    • −Plan prices are shown as an image, not text, so we could not verify them

We could not confirm a US price yet. Check the Pushpay ChurchStaq pricing page.

Pushpay ChurchStaq joins Pushpay giving with the church management system that used to be Church Community Builder and with branded apps. The ChMS comes in three tiers. Core covers profiles, groups, events and calendars, follow-up processes, website integration, custom reports and attendance. Advanced adds volunteer scheduling, service plans, check-in, facility management, forms and 7 years of giving history. Complete adds multisite administration, metric dashboards, a group leadership hierarchy and private pastoral notes. On the giving side Pushpay offers Apple Pay, embedded giving on the church website, pledging, stock and crypto gifts and per-campus giving. Qualified pre-launch church plants can get the full platform free for 12 months. Pushpay publishes no prices, so smaller churches will likely pay more than with Planning Center or ChurchTrac for similar day-to-day features.

    Strengths

    • +Deep multisite features and per-campus giving
    • +Strong giving tools with stock and crypto gifts through Engiven
    • +12-month no-cost grant for qualified pre-launch church plants

    Drawbacks

    • −No published prices, so budgets need a sales quote
    • −Check-in and volunteer scheduling need the Advanced tier

    Price

Core $79.99 per month; Complete $159.99 per month; about 8% off when paid yearly

Quoted from the Servant Keeper pricing page on November 6, 2026: core $79.99 mo

Servant Keeper has long been popular with church clerks and treasurers who care most about member and contribution records. Two plans are published. Core at $79.99 a month covers unlimited families and members, 4 users, full apps and reporting, integrated giving at the standard processing rate and phone, email and chat support, with check-in available as a $199 option. Complete at $159.99 a month raises users to 8, adds a preferred processing rate, check-in, premium onboarding with white glove data transfer, email, text-to-give, 1,000 texts a month, a website and app, a 50GB content library and 25 hours a month of HD live streaming. Paying yearly cuts the price to $73.32 or $146.66 a month. The value case is weaker than ChurchTrac or ChMeetings, which include accounting or many more features for less, and Core's user cap is tight for churches with several staff.

    Strengths

    • +Phone, email and chat support on every plan
    • +White glove data transfer on Complete
    • +Annual billing saves $80 to $160 a year

    Drawbacks

    • −Core includes only 4 users

What to check before you buy

Check how each vendor counts people

Headcount pricing differs a lot. ChurchTrac counts names tracked, ChMeetings counts people, Elvanto counts only active adults and stores children free, Planning Center prices each product by its own measure such as daily check-ins or group members, and Rock RMS asks for a donation per average weekend attendee. Breeze charges a flat $72 a month whatever your size.

Decide whether you need accounting in the same system

ChurchTrac includes fund accounting in every plan and ChMeetings adds it from the $25 Small plan. Planning Center, Breeze and Elvanto record giving but leave the general ledger to a separate tool. If your treasurer already runs church accounting elsewhere, an integration may matter more than a built-in ledger.

Look closely at child check-in

Check-in is the feature volunteers use most on Sunday. Planning Center Check-Ins includes unlimited stations on every plan, Breeze and ChurchTrac include check-in with name tags, Servant Keeper sells it as a $199 option on Core, and Pushpay puts it in the Advanced tier. Test printing labels on your own hardware during the free trial.

Count messaging costs

Texting is rarely unlimited. Planning Center sells text credits at $0.02 per text, Breeze includes 250 texts a month then $10 per 500, Churchteams includes 500 outgoing texts on higher plans then 2 cents each, and Servant Keeper Complete includes 1,000 a month. Estimate your monthly texts before you compare totals.

Compare giving fees with subscription fees

Giving fees can cost more than the software. Planning Center charges 2.15% plus $0.30 per US card gift and $0.30 per ACH gift, Breeze and Elvanto use Tithely giving, and Pushpay focuses on giving features for large churches. Ask each vendor for its card and ACH rates and multiply by your yearly online giving.

Common questions

What is the best church management software?
Planning Center is our top pick because its member database and Church Center app are free and every other product has a free tier, with paid plans from $15 a month per product. ChurchTrac is the runner-up for small and mid-size churches, from $29 a month with fund accounting included.
Is there free church management software?
Yes. ChMeetings has a permanent free plan for up to 50 people, Planning Center has free tiers on every product, and Rock RMS is open source with no license fees, though churches pledge a suggested $4.45 per weekend attendee per year and need hosting.
How much does church management software cost?
Published entry prices on this list run from $12 a month at ChMeetings and $15 per product at Planning Center to $29 at ChurchTrac, $72 at Breeze and $79.99 at Servant Keeper. Pushpay and Churchteams prices were not available as text when we checked.
Which church software includes accounting?
ChurchTrac includes fund accounting and budgets in every plan, and ChMeetings includes accounting from its $25 Small plan for up to 250 people. Rock RMS has finance tools, while Planning Center and Breeze track giving but need a separate accounting tool.
What is the best church software for large or multisite churches?
Rock RMS powers many of the largest US churches and suits teams with technical staff. Pushpay ChurchStaq adds multisite administration and per-campus giving on its Complete tier, and Planning Center scales by product for growing churches.
