9 Best AI Workplace Assistants of 2026

By the TopToolAdvisor research desk · Updated November 6, 2026 · Next review December 21, 2026 · 9 products scored

Our pickChatGPT BusinessCompanies of 2 to 200 people that want the most familiar general assistant with connectors to their existing tools.9.1

Our pick in brief

ChatGPT Business is the safest default for a company-wide rollout: $20 per seat per month billed annually, connectors for Google Workspace, Microsoft 365, Slack and GitHub, SSO, and no training on business data by default. Claude Team costs the same $20 per standard seat and bundles Claude Code, Cowork and document, slide and design tools, which makes it the stronger pick for technical and content-heavy teams. If your company lives in Microsoft 365, the Copilot Business add-on from $18 puts the assistant inside Word, Excel, Outlook and Teams. Google Workspace customers already get Gemini in their plan. Pick Amazon Quick for AWS shops on a tight budget, Perplexity for research with citations, Glean for search across hundreds of internal systems, Notion AI if your knowledge already lives in Notion, and Mistral Vibe for European data control.

Quick answer

ChatGPT Business is the best AI workplace assistant for companies giving one general assistant to every employee in 2026; Claude Team suits teams that also want coding, slides and documents from the same seat; Amazon Quick Essentials is the cheapest paid option at $3 per user per month plus a $250 infrastructure fee per account.

This list is for companies choosing one general AI assistant to roll out to employees, rather than a niche tool for a single team. We compared documented features and published prices for 9 assistants and scored each on features, ease of use and value. Prices are the cheapest paid business tier in US dollars as shown on the vendor pricing page on the date we checked. Google, Notion and the Perplexity enterprise tab showed prices in another currency or behind a sales form from our location, and Glean does not publish prices, so those entries are marked as pending. Two products here are built into suites you may already pay for: Gemini comes with Google Workspace plans and Copilot is an add-on to Microsoft 365.

  1. No. 1, our pick

    ChatGPT Business

OpenAI's team plan for ChatGPT, with a shared workspace, company connectors and admin controls.

    Price

Standard seat $20 per user per month billed annually, $25 monthly; premium seat $100

Quoted from the ChatGPT Business pricing page on November 6, 2026: $20/month if billed annually. $25/month if billed monthly.

ChatGPT Business ranks first because it pairs the assistant most employees already know with the admin layer a company needs. A standard seat costs $20 per month billed annually and includes all ChatGPT, ChatGPT Work and Codex features across desktop, web and mobile, so writers, analysts and developers can share one plan. Connectors reach Google Workspace, Slack, GitHub and Microsoft 365, and workspace agents let teams set up repeatable workflows. Admins get SAML SSO, MFA, centralized billing, usage analytics and spend controls, and OpenAI states business data is not used for training by default. Heavy users can be moved to a $100 premium seat without changing plans. The limits are real for growing firms: Business covers teams of 2 to 200, and SCIM, EKM, custom retention and data residency need the Enterprise tier, which is priced through sales. OpenAI also notes that from December plan usage becomes a shared limit across ChatGPT and Codex.

    Strengths

    • +No training on business data by default
    • +Same $20 annual seat price as the main rival, with Codex included
    • +Enterprise tier adds SCIM, EKM and data residency in ten regions

    Drawbacks

    • −Business plan is limited to teams of 2 to 200 employees
    • −From December, usage is a shared limit across ChatGPT and Codex
    • −Enterprise pricing is only available through sales

    Price

Standard seat $20 per user per month billed annually, $25 monthly; premium seat $100

Quoted from the Claude Team pricing page on November 6, 2026: $20 Per seat / month if billed annually. $25 if billed monthly.

Claude Team is a close second and the better pick for teams whose work ends in a document, a deck or code. A $20 standard seat billed annually includes chat on every platform, Claude Code, Claude Cowork, and Anthropic's Design, Slides and Docs tools, with Dashboards and Motion in beta. Claude for Microsoft 365 and Outlook, connectors and enterprise search let it work with company files, and context windows reach up to 1M tokens depending on model. Admins get central billing, SSO, controls for remote and local connectors and enterprise deployment of the desktop app, and Anthropic states it does not train on your content by default. Premium seats at $100 give 5x the usage of standard seats for heavy users. It trails ChatGPT Business slightly on ease of rollout and team size: Team caps at 150 people, and self-serve Enterprise charges usage at API rates on top of the $20 seat with a 20 seat minimum.

    Strengths

    • +No model training on your content by default
    • +Standard and premium seats can be mixed in one plan
    • +Self-serve Enterprise adds SCIM, audit logs and a HIPAA-ready offering

    Drawbacks

    • −Team plan covers 2 to 150 people
    • −Usage limits apply and depend on the model used
    • −Self-serve Enterprise adds API-rate usage costs and a 20 seat minimum
    Standard seat
$20 per month billed annually, $25 billed monthly
    Premium seat
$100 per month billed annually, 5x standard usage

Microsoft's AI assistant inside Word, Excel, PowerPoint, Outlook and Teams, grounded in your work data.

Copilot Business add-on from $18 per user per month billed annually (promotional, regularly $21)

Quoted from the Microsoft 365 Copilot pricing page on November 6, 2026: Originally starting from $21.00 now starting from $18.00

Microsoft 365 Copilot ranks third because, for a Microsoft shop, it puts AI where employees already write, calculate and meet. The Copilot Business add-on is listed at $18 per user per month billed annually, down from $21, and adds Copilot inside Word, Excel, PowerPoint, Outlook and Teams, chat grounded in work data with a choice of language models, and the Researcher and Analyst agents. It also opens Cowork, Autopilot and advanced AI features in apps such as SharePoint, and gives admins analytics on adoption and impact under Enterprise Data Protection. Companies that also need the Office apps can buy Business Standard with Copilot at $23.50 or Business Premium with Copilot at $32. Even without a license, Copilot Chat is included with eligible Microsoft 365 plans. The trade-offs are lock-in to the Microsoft stack, a promotional headline price, and usage-based billing for some advanced AI features.

    Strengths

    • +Copilot Chat is included at no extra cost with eligible Microsoft 365 plans
    • +Bundles with Business Standard or Premium if you also need the apps
    • +Enterprise Data Protection, management and compliance controls

    Drawbacks

    • −Works best only if your company already uses Microsoft 365
    • −Usage-based billing applies to select advanced AI features
    • −The $18 price is promotional, with $21 shown as the regular price
    Copilot Business add-on
$18 per user per month billed annually, $25.20 monthly

    Price

See vendor pricing (USD check pending); Gemini is included in Google Workspace business plans

We could not confirm a US price yet. Check the Gemini in Google Workspace pricing page.

Gemini in Google Workspace is the obvious assistant for companies already on Google, because it comes inside the plan rather than as a separate license. Business Starter includes the Gemini assistant in Gmail and chat with Gemini where, Google says, company data is not used to train models, plus the Vids AI video editor. Business Standard extends Gemini to Docs, Meet and other apps and adds expanded access to Gemini Notebook for research, along with meeting recording and noise cancellation. Business Plus adds Vault and eDiscovery, and Enterprise adds data loss prevention, context-aware access and data regions. Every business plan starts with a 14 day trial. It scores high on ease of use because staff meet the assistant in tools they already open daily. It ranks below the standalone leaders because the cheapest tier limits where Gemini appears, and from our location Google showed prices only in Polish zloty, so we could not verify a USD price.

    Strengths

    • +Comes with the Workspace plan, so there is no separate AI license to buy
    • +14 day free trial on business plans
    • +Enterprise plans add data loss prevention and data regions

    Drawbacks

    • −Business Starter limits the assistant mostly to Gmail and the Gemini app
    • −Only useful if your company runs on Google Workspace

    Price

Free plan; Essentials from $3 per user per month plus a $250 infrastructure fee per account; Plus $20 per user billed annually

Quoted from the Amazon Quick pricing page on November 6, 2026: $3 /user/month +$250 infrastructure fee per account

Amazon Quick is the next version of Amazon Q Business, and AWS says existing Q Business customers can keep their current service or reuse their Q index with Quick. It ranks sixth because the price is hard to beat for large rollouts but the setup is more involved than the leaders. Every plan, including Free, offers AI chat, in-depth research, custom chat agents, Quick Flows for routine tasks, and generation of docs, sheets, decks and web apps, with connectors for Slack, Microsoft 365, Google and QuickBooks. Plus at $20 per user billed annually adds shared Spaces and user management for up to 300 people. The organization plans start with Essentials at $3 per user per month plus a $250 infrastructure fee per account, with no seat cap, RBAC, SSO, data sovereignty controls and 24/7 AWS Support, but only 1 agent hour per user per month. Professional and Enterprise raise agent hours and storage.

    Strengths

    • +Lowest verified per-user price on this list at $3
    • +Essentials has no seat cap and includes 24/7 AWS Support
    • +Existing Amazon Q Business indexes carry over to Quick

    Drawbacks

    • −The $250 infrastructure fee raises the cost for small teams
    • −Organization plans require signing up with an AWS account
    • −Agent hours are capped per user, from 1 hour a month on Essentials

    Price

We could not confirm a US price yet. Check the Perplexity Enterprise pricing page.

Perplexity Enterprise ranks fifth and is the best fit when the main job is finding and checking information. Every answer carries citations, follow-up prompts help users dig further, and integrations let it search internal files alongside the web. Perplexity Computer puts 20 advanced models to work on research, analysis, content and code, and the Comet browser can answer questions and handle email busywork from the browser window. The security list is strong for a research tool: SOC 2 Type II, GDPR and HIPAA compliance, SSO and SCIM, audit logs, user controls on file uploads and sharing, and automatic file deletion that can be set as short as 1 day. Perplexity says it never trains its models on enterprise customer data and that more than 50,000 organizations use it. It ranks below the general assistants because its office integrations are narrower, and we could not load a USD price for Enterprise Pro from our location.

    Strengths

    • +Perplexity states it never trains its models on enterprise customer data
    • +SOC 2 Type II certified, GDPR and HIPAA compliant
    • +Used by more than 50,000 organizations according to Perplexity

    Drawbacks

    Price

See vendor pricing (USD check pending); Glean sells through demos and sales

We could not confirm a US price yet. Check the Glean pricing page.

Glean started as enterprise search and now sells an AI assistant on top of that index, which is its advantage: it lists more than 275 connectors and searches company tools, documents, conversations and the web before it answers. The assistant plans multi-step requests, runs sub-agents in parallel to fill gaps, and checks progress before it delivers a result. Teams can create documents, decks, dashboards and even podcasts grounded in company knowledge, turn meetings into searchable summaries, and analyze data across warehouses and BI tools. Admins get a model hub with auto routing, usage controls and an AI gateway, and the agent builder adds orchestration and governance. Glean ranks seventh because it costs more effort to buy: prices are not published, purchase starts with a demo, and some headline features such as multiplayer chat and delegated workflows are labeled beta. For companies with knowledge scattered across many systems it can still beat the general assistants on answer quality.

    Strengths

    • +Widest connector list in this comparison
    • +Model hub and auto routing to pick models per request
    • +Usage controls and an AI gateway for governance

    Drawbacks

    • −No published prices
    • −Sold through demos, so rollout takes longer than self-serve tools
    • −Multiplayer chat and cross-system delegation are still in beta

    Notion AI

    Price

See vendor pricing (USD check pending); full Notion AI on the Business plan, trial AI on Free and Plus

We could not confirm a US price yet. Check the Notion AI pricing page.

Notion AI makes sense when a company's knowledge already sits in Notion, because the assistant works on those pages and databases directly. On the Business plan, Notion Agent completes multi-step tasks using context from Notion, connected apps and the web, AI Meeting Notes capture calls without a bot, and Enterprise Search reaches apps such as Slack and GitHub, though that is still in beta. Teams can mark pages as verified so they show up in search and AI citations, and the plan adds SAML SSO, private teamspaces and granular database permissions. Enterprise adds SCIM and zero data retention with Notion's LLM providers. Custom Agents that run tasks on their own cost $10 per 1,000 Notion credits after a free trial. Notion AI ranks eighth because it is tied to Notion as a workspace, the Free and Plus plans only get trial AI, and the pricing page showed euros from our location, so the USD price is pending.

    Strengths

    • +AI works directly inside the docs and databases teams already use
    • +Business plan adds SAML SSO and private teamspaces
    • +Enterprise plan gets zero data retention with LLM providers

    Drawbacks

    • −Full AI features need the Business plan; Free and Plus get a trial

Free plan; Team from $24.99 per user per month, excluding taxes

Quoted from the Mistral Vibe pricing page on November 6, 2026: $24.99 /user/mo

Mistral Vibe, the product formerly called Le Chat, is the pick for companies that care most about where their data and models run. The assistant handles chat, deep research across the web, internal docs and connected tools, and briefings that pull from email, chat and calendar, and it can create documents, spreadsheets and slides. More than 100 connectors are available even on the free plan, and Skills plus task scheduling let teams automate repeat work. The Team plan at $24.99 per user per month adds higher limits, up to 30 GB of storage per user, domain verification and data export. Enterprise moves to private deployments with custom models, agents and workflows, audit logs, SAML SSO and white labeling, and Mistral says customers can keep full data residency in any cloud or data center. It ranks ninth because the team seat costs more than the leaders and SSO and audit logs require Enterprise.

    Strengths

    • +Enterprise offers private deployments with custom models
    • +Full data residency in any cloud or data center, according to Mistral
    • +Team includes domain verification and data export

    Drawbacks

    • −Highest verified team seat price on this list
    • −SAML SSO and audit logs are on the Enterprise plan
    • −Fewer office suite integrations than the leaders

What to check before you buy

Start with the suite you already pay for

Gemini is included in Google Workspace business plans, and Microsoft includes Copilot Chat at no extra cost with eligible Microsoft 365 plans. Before buying a standalone assistant, check what those included tiers already cover, then decide whether the gap justifies a second subscription.

Compare seat types, not just the headline price

ChatGPT Business and Claude Team both let you mix $20 standard seats with $100 premium seats for heavy users. Amazon Quick Essentials costs $3 per user but adds a $250 infrastructure fee per account. Claude Enterprise self-serve charges $20 per seat plus usage at API rates with a 20 seat minimum.

Check what the assistant can reach

An assistant is only as useful as the data it can read. Glean lists more than 275 connectors, Amazon Quick connects to Slack, Microsoft 365, Google and QuickBooks, and ChatGPT Business connects to Google Workspace, Slack, GitHub and Microsoft 365. Test the connectors your teams rely on before you commit.

Confirm data handling and admin controls

ChatGPT Business, Claude Team and Perplexity Enterprise state they do not train models on business data by default. SCIM provisioning, audit logs and custom retention usually sit on enterprise tiers, so price the tier that matches your compliance needs rather than the entry plan.

Watch seat caps and team size limits

ChatGPT Business is for teams of 2 to 200, Claude Team for 2 to 150, and Amazon Quick Plus and Microsoft 365 business plans cap at 300 users. Larger rollouts move to enterprise contracts with custom pricing.

Common questions

What is the best AI workplace assistant in 2026?
ChatGPT Business ranks first on our list for company-wide rollouts, at $20 per user per month billed annually with SSO, connectors and no training on business data by default. Claude Team follows at the same $20 standard seat price and adds Claude Code, Cowork and document tools.
What is the cheapest AI assistant for a whole company?
Amazon Quick Essentials is the cheapest verified paid option at $3 per user per month plus a $250 infrastructure fee per account, with no seat cap. If you already pay for Google Workspace, Gemini is included in the plan, and Microsoft includes Copilot Chat with eligible Microsoft 365 plans.
Should we buy Microsoft 365 Copilot or ChatGPT Business?
Choose Copilot if your staff work mainly in Word, Excel, Outlook and Teams, since the add-on from $18 per user puts AI inside those apps and grounds it in Microsoft 365 data. Choose ChatGPT Business if you use a mix of tools or want Codex and ChatGPT Work in the same $20 seat.
Do these assistants train on company data?
OpenAI and Anthropic state that ChatGPT Business and Claude Team do not train on business content by default, Perplexity says it never trains on enterprise customer data, and Google says company data in Gemini chat is not used to train models. Check each vendor's terms for retention, since custom retention controls often sit on enterprise tiers.
Which assistant is best for searching internal company knowledge?
Glean is built for that job, with more than 275 connectors and an assistant that plans and researches across company systems, but it does not publish prices. Notion AI is a simpler option when your knowledge already lives in Notion.
