By the TopToolAdvisor research desk · Updated November 6, 2026 · Next review December 21, 2026 · 9 products scored
Our pick in brief
Knowify is the best fit for most trade contractors because it adds AIA pay apps, retainage tracked by phase and a live WIP report to the QuickBooks books they already keep, with prices on the page. Foundation Software is the stronger choice for commercial and union contractors that need certified payroll and want job costing, billing and payroll in one construction ledger, and Sage 100 Contractor covers similar ground for firms moving up from QuickBooks. Contractor Foreman and JobTread pair project tools with progress billing at published prices, Premier suits GCs and developers billing draws across several entities, and Viewpoint Vista is for large contractors with union crews and equipment fleets. QuickBooks Online and Xero work as low-cost ledgers when billing is simple.
Quick answer
Knowify is the best accounting software for construction for trade contractors in 2026, from $99 per month billed yearly with AIA pay apps, retainage by phase and live WIP on top of QuickBooks. Foundation Software suits commercial and union contractors that need certified payroll and job costing in one ledger, and Contractor Foreman suits small contractors from $49 per month billed annually. Xero is the cheapest option at $27 per month for basic cloud books.
This list is for contractors and construction bookkeepers choosing software to run job costing, progress billing and retainage. We compared documented features and published prices for 9 products, from full construction accounting systems with their own ledger and payroll, such as Foundation, Sage 100 Contractor, Premier and Viewpoint Vista, to construction billing and job costing tools that sit on top of QuickBooks or Xero, such as Knowify, JobTread and Contractor Foreman. General ledgers QuickBooks Online and Xero are included because many small contractors start there. Each product is scored on features, ease of use and value. Prices are the cheapest paid plan in US dollars as shown on the vendor's page on the date we checked; vendors that quote only after a demo are marked as pending.

Price
Core from $99 per month billed yearly or $149 monthly for 1 user; Advanced $329 per month billed yearly for 10 users
Quoted from the Knowify pricing page on November 6, 2026:
$99 / month $149 / month
Knowify is built for trade contractors who already keep their books in QuickBooks and need the construction layer QuickBooks lacks. The Core plan, at $99 per month billed yearly or $149 monthly for one user, covers bidding and invoicing for fixed-price and AIA jobs. Pay apps generate G702 and G703 forms with stored materials and approved change orders placed in the right billing period, and retainage is tracked by phase with reminders to bill it when it comes due. The Advanced plan, $329 per month billed yearly for 10 users, adds project management and more job costing tools. Knowify job costing shows budget vs. actual by phase, counts purchase orders as committed costs and keeps a real-time WIP report that flags over and underbilled jobs. Everything syncs both ways with QuickBooks Online, Payroll and Time. The trade-off is that Knowify depends on QuickBooks for the ledger, and teams beyond one user pay $29 per extra user on Core.
Strengths
- +Published prices with a low entry plan
- +Retainage and change orders flow into pay apps automatically
- +Keeps QuickBooks as the general ledger your accountant already uses
Drawbacks
- −Needs QuickBooks for the books, so it is not a standalone ledger
- −Core includes only 1 user, and extra users cost $29 per month each
- −Project management and job costing tools sit in the Advanced plan
- Plans
- Core $99, Advanced $329 per month billed yearly; Enterprise on request
- Monthly billing
- Core $149, Advanced $399 per month
- Users
- Core 1, Advanced 10, Enterprise unlimited

Foundation Software sells FOUNDATION as accounting built only for contractors, and its feature set reflects that. Job costing drills from job totals into detailed cost breakdowns, and the reporting covers job histories, production reports and estimated vs. actual figures while jobs are still running. Billing handles AIA progress invoices, unit price and time and material invoices with retainage, which is the core billing need of most commercial subcontractors. The built-in payroll is a major reason firms choose it: it produces certified payroll formats such as DIR, eMars and LCPtracker and handles union and multistate rules. Change orders entered or imported into the system update the over/under WIP schedule without manual recalculation. The vendor says more than 43,000 contractors have used it over 40 years. Prices are not published, so you need a demo and quote, and the depth is more than a small remodeler or single-trade shop is likely to use.
Strengths
- +Payroll is built in, including union and multistate rules
- +Billing forms cover AIA, unit price and T&M work
- +Vendor says 43,000+ contractors use it
Drawbacks
- −No published prices; a demo is required for a quote
- −Aimed at commercial contractors, so heavier than small trades need
- −Full feature set means more setup than a QuickBooks add-on
- Users
- Vendor cites 43,000+ contractors over 40+ years
- Billing
- AIA progress, unit price, time and materials, with retainage
- Payroll
- Certified payroll, union and multistate

Basic $49 per month billed annually for 1 user; Standard $105 per month for up to 3 users
Quoted from the Contractor Foreman pricing page on November 6, 2026:
Basic $49 per month 1 Users
Contractor Foreman is an all-in-one construction management tool with a strong billing module, and its annual plans start at $49 per month for one user. Invoices support progress billing by dollar, percent or quantity, AIA G702 style billing and retention held, so a subcontractor always knows how much a GC is retaining. Time and material billing, tax handling and online payments sit in the same module. Job costing reports compare actual labor and material spend against the estimate, and more than 100 standard reports are joined by a drag-and-drop custom report builder. Books stay in QuickBooks or Xero through built-in integrations. Plans scale by user count: Standard at $105 for 3 users, Plus at $166 for 8, Pro at $221 for 15 and Unlimited at $332, all billed annually. There is a 30-day free trial, and Plus and above add a 100-day money-back guarantee. The main limit is that it is not a general ledger.
Strengths
- +Lowest published entry price among the construction-specific tools here
- +30-day free trial and a 100-day money-back guarantee on higher plans
- +Integrates with either QuickBooks or Xero
Drawbacks
- −Basic covers only 1 user
- −Accounting itself still lives in QuickBooks or Xero
- −Monthly billing costs more, for example Standard at $139 per month
- Plans
- Basic $49, Standard $105, Plus $166, Pro $221, Unlimited $332 per month billed annually

$199 per month including 1 internal user plus $20 per additional user; save 20% on annual billing
Quoted from the JobTread pricing page on November 6, 2026:
$199 per month + $20/month per internal user
JobTread prices simply: $199 per month includes one internal user and every feature, with additional internal users at $20 per month that drop in tiers past 10 users, and annual billing saves 20%. Customer, vendor and subcontractor portal users are free and unlimited, and so are field crew who only upload photos, log notes and view schedules. On the money side it covers budgeting, change orders, job costing, purchase orders and work orders, sub and vendor billing, AIA payment applications and customer invoices with online payments, and it connects to QuickBooks Online for the ledger and Gusto for payroll. There are no setup fees or contracts, and implementation, training and support are free. The catch is that JobTread does not offer a free trial, saying it assigns every customer a success manager instead, though monthly plans carry a 30-day money-back guarantee. For a solo operator, the $199 base costs more than per-user rivals.
Strengths
- +Every feature is included in one plan
- +Free implementation, training and support with no setup fees
- +Customer, vendor and subcontractor portal users are free and unlimited
Drawbacks
- −No free trial; a 30-day money-back guarantee applies to monthly plans
- −Higher entry price than per-user tools for a one-person shop
- −Relies on QuickBooks Online for the general ledger
- Base price
- $199 per month with 1 internal user
- Additional users
- $20 each for users 2 to 10 on monthly billing, with tiered breaks above that
- Annual billing
- Save 20%

Simple Start $38 per month for 1 user; Plus $140 per month adds project profitability; intro discounts for 3 months
Quoted from the QuickBooks Online pricing page on November 6, 2026:
Simple Start For starting small $38 $19 / mo 50% off for 3 months*
QuickBooks Online is the ledger most small contractors already use, and every construction add-on on this list connects to it. Simple Start costs $38 per month for one user, Essentials $85 for three, Plus $140 for five and Advanced $340 for 25, with half off for the first three months on the date we checked. For construction work, Plus is the realistic starting point because it adds project profitability tracking, budgets, classes and locations, so you can follow income and costs job by job. Advanced lists a construction financials solution and advanced project financials, plus AI that creates projects and allocates costs. Below Advanced, AIA pay applications, retainage billing and WIP schedules are not listed as plan features, which is why many contractors pair QuickBooks with Knowify, JobTread or Contractor Foreman. A 30-day free trial is available.
Strengths
- +Most accountants already know it
- +30-day free trial and month-to-month plans
- +Construction tools such as Knowify, JobTread and Contractor Foreman sync with it
Drawbacks
- −Project profitability starts on Plus at $140 per month
- −AIA pay apps and retainage usually need an add-on below Advanced
- −Simple Start allows only 1 user

Premier is a cloud construction ERP aimed at general contractors, home builders and land developers, and its accounting module handles the billing methods those firms juggle: progress billing on AIA forms, cost-plus, lender draws and time and materials. Subcontractor payments run through electronic workflows with retainage tracking, and lien waivers can be automated alongside monthly draws. A WIP automation feature uses percentage of completion to match revenue with progress, and reports cover budget vs. actual, change orders, AP and AR aging and retainage detail. Multi-entity, multi-currency and inter-company transactions make it a fit for builders with several companies. Premier says it uses flat-rate pricing with a 30-day money-back guarantee and in-house implementation by construction CPAs, with go-live in as few as 60 days, but no prices are shown until you complete its quote form.
Strengths
- +Covers draws and cost-plus as well as AIA billing
- +Multi-entity consolidation for developers and builders
- +Vendor advertises flat-rate pricing and a 30-day money-back guarantee
Drawbacks
- −Prices only after a two-step quote form
- −More system than a small trade contractor needs
- −Go-live quoted at as few as 60 days, so expect an implementation project
- Billing methods
- Progress billing (AIA), cost-plus, lender draws, time and materials
- Implementation
- Vendor cites go-live in as few as 60 days

Price
Early $27 per month; Growing $59; Established $97 with project time and cost tracking; intro discounts for 3 months
Quoted from the Xero pricing page on November 6, 2026:
Then $27 per month
Xero is general cloud accounting rather than construction software, but it earns a place as the cheapest ledger here for small contractors who keep project work in a separate app. The US Early plan costs $27 per month after an introductory discount and covers quotes, 20 invoices, 5 bills and bank reconciliation. Growing, at $59, removes those limits for most small firms, and Established, at $97, adds time and cost tracking for projects, multiple currencies and expense claims. Payroll comes through Gusto as an add-on. What Xero does not list is construction billing: there is no AIA pay application or retainage feature on its plan page, so contractors who bill GCs monthly will want a tool such as Contractor Foreman, which integrates with Xero, for progress invoices. For a small trade doing fixed-price work, though, Xero keeps the books simple and inexpensive.
Strengths
- +Cheapest verified starting price on this list
- +Contractor Foreman integrates with it for progress billing
- +Clean, simple cloud interface
Drawbacks
- −Early plan limits you to 20 invoices and 5 bills
- −Project tracking only on the $97 Established plan
- −AIA pay applications and retainage are not listed among plan features

Sage 100 Contractor covers every phase of construction and service management in one out-of-the-box product for small to mid-sized contractors. Job cost and project details sit behind customizable dashboards and industry-specific reports, and integrated estimating can export budgets, proposals, subcontracts and purchase orders. Sage highlights certified payroll, AIA billings and lien waivers as things the product handles directly, which is the compliance work that pushes many contractors off QuickBooks; Sage even markets a comparison chart against QuickBooks. Sage Construction Management can be added for project collaboration, and Sage Paperless Construction and Sage Estimating are related products. Training runs through Sage University, and support and updates come through Sage Business Care plans. Pricing is not published, so you need to contact Sage or a partner. Compared with newer cloud tools, expect a more traditional interface and a steeper learning curve.
Strengths
- +Covers accounting, payroll and service work in one system
- +Long-standing product with Sage University training
- +Positioned as an upgrade from QuickBooks and Sage 50
Drawbacks
- −No published prices; contact Sage for a quote

Viewpoint Vista is Trimble's construction ERP for contractors that have outgrown small business accounting. Job-cost accounting tracks work in progress, takes budgets and change orders directly or from estimating and project management tools, and lets managers drill from summary costs into detailed reports. Automated invoicing turns PDF invoices into validated, unapproved entries, and Trimble Pay handles payment processing. Vista's HR and payroll side is built for complex workforces, covering union, multi-state, multi-company and contractual construction payroll. Service management, equipment management and analytics round out the system. That breadth suits large self-performing contractors with fleets and union crews, but it comes with an enterprise sales process: pricing is not published, and implementation is a significant project. Small and mid-sized trades will get faster value from Foundation, Sage 100 Contractor or a QuickBooks add-on.
Strengths
- +Deepest ERP feature set on this list
- +Handles union, multi-state and multi-company payroll
- +Part of Trimble's construction software family
Drawbacks
- −No published prices
- −Built for larger firms, so overkill for small trades
- −Expect a long implementation and dedicated admin staff

What to check before you buy
Decide between an add-on and a full construction ledger
Construction accounting comes in two shapes. Knowify, JobTread and Contractor Foreman handle estimating, job costing and billing and sync to QuickBooks or Xero, which stays the general ledger. Foundation, Sage 100 Contractor, Premier and Viewpoint Vista replace the ledger and add construction payroll. Add-ons cost less and keep your accountant's workflow; full systems remove sync issues and handle certified payroll.
Check how progress billing and retainage work
If you bill GCs monthly, look for G702 and G703 pay applications built from a schedule of values, change orders placed in the right billing period and retainage tracked per line or phase. Knowify, Contractor Foreman, Foundation and Premier document retainage handling, and JobTread and Sage 100 Contractor list AIA billing. QuickBooks Online below Advanced and Xero do not list these features.
Look at job costing depth and WIP
Good job costing shows budget vs. actual by phase and cost type, counts purchase orders as committed costs and produces a WIP schedule showing over and underbilling. Knowify and Foundation update WIP as costs and change orders post, Premier automates percentage of completion WIP, and Viewpoint Vista tracks work in progress inside its ERP.
Factor in payroll and compliance
Prevailing wage and union work need certified payroll reports. Foundation lists DIR, eMars and LCPtracker formats, Sage 100 Contractor lists certified payroll and lien waivers, and Viewpoint Vista handles union, multi-state and multi-company payroll. Add-on tools usually rely on QuickBooks Payroll or Gusto instead.
Price the whole team
Seat models vary. Knowify Core includes 1 user and charges $29 per extra user, JobTread charges $199 plus $20 per internal user with free portal users, and Contractor Foreman sells bundles from 1 to unlimited users. Full construction ERPs quote after a demo and usually add implementation, so ask for the total first-year cost.
Common questions
- What is the best accounting software for construction companies?
- Knowify ranks first on our list for trade contractors because it adds AIA pay apps, retainage and live WIP to QuickBooks from $99 per month billed yearly. Foundation Software is the top full construction ledger for commercial and union contractors, and Contractor Foreman is the best value at $49 per month billed annually.
- Can QuickBooks handle construction accounting?
- QuickBooks Online Plus, at $140 per month, tracks project profitability, and Advanced lists a construction financials solution. Below Advanced, AIA pay applications and retainage are not listed features, so many contractors connect an add-on such as Knowify, JobTread or Contractor Foreman.
- Which construction accounting software handles retainage?
- Knowify tracks retainage by phase and reminds you to invoice it, Contractor Foreman tracks retention held on progress invoices, Foundation bills AIA progress invoices with retainage, and Premier tracks retainage on subcontractor payments.
- How much does construction accounting software cost?
- Verified entry prices on this list run from $27 per month for Xero and $38 for QuickBooks Online Simple Start to $49 for Contractor Foreman Basic and $99 for Knowify Core, both billed annually, and $199 for JobTread. Foundation, Sage 100 Contractor, Premier and Viewpoint Vista quote prices after a demo.
- Do I need certified payroll in my accounting software?
- Only if you work on prevailing wage or union jobs. Foundation produces DIR, eMars and LCPtracker formats, Sage 100 Contractor lists certified payroll, and Viewpoint Vista handles union and multi-state payroll; add-on tools rely on a separate payroll service.
