8 Best Accounting Software for Small Business of 2026

By the TopToolAdvisor research desk · Updated November 6, 2026 · Next review December 21, 2026 · 8 products scored

Our pickQuickBooks OnlineOwners who want automated categorization and books their accountant already knows how to read.8.7

Our pick in brief

QuickBooks Online is the safest pick for an owner doing their own books: it learns how you categorize transactions, almost every accountant knows it, and Simple Start covers one user plus two accountants for $38 per month. Zoho Books is the value pick, with a free plan that already includes bank reconciliation and 1099 filing, and a $15 Standard plan that adds bank feeds and sales tax tracking. Xero charges no per-user fees, Wave is the best free start, and FreshBooks is the easiest choice if most of your bookkeeping starts with an invoice.

Quick answer

QuickBooks Online is the best accounting software for small business owners who do their own books in 2026, with Simple Start at $38 per month; Zoho Books suits owners who want bank feeds, sales tax and 1099 e-filing for $15 per organization per month billed annually. The free options are Wave Starter and Zoho Books Free, which both cost $0.

This list is for owners who keep the books themselves: you categorize transactions, send invoices, reconcile the bank and hand clean reports to a tax preparer once a year. We compared documented features and published prices for eight accounting tools, with extra attention on what the entry plan includes, because that is the plan most owners stay on. Each tool is scored on features, ease of use and value, and the overall score is a weighted average of the three. Prices come from each vendor's own US pricing page on the date shown. Where a page did not show a US dollar price we could confirm, the price is marked as pending.

    QuickBooks Online

Intuit's cloud accounting software, with a free tier and four paid plans from Simple Start to Advanced.

    Price

QuickBooks Free at $0; Simple Start $38 per month ($19 for the first 3 months on the current offer), Essentials $85, Plus $140, Advanced $340

Quoted from the QuickBooks Online pricing page on November 6, 2026: Simple Start For starting small $38 $19 / mo 50% off for 3 months*

QuickBooks Online fits the owner who wants software to do most of the categorizing. Intuit says it learns how you sort income and expenses and then matches and records transactions automatically, which is the part of DIY bookkeeping that eats the most evenings. Simple Start at $38 per month covers one user with access for two accountants, general business reports such as profit and loss, invoicing with card and bank payments, and bill pay with an allotment of free ACH transfers. Essentials at $85 adds three users and enhanced reports, and Plus at $140 adds budgets, project profitability and inventory. The practical advantage is familiarity: when tax season comes, your preparer can usually log in and work without a learning curve. The drawback is cost. The headline $19 price is a 50% discount for three months, and the regular price is the highest entry price on this list. QuickBooks Free exists for very early businesses but leaves out the mobile app and integrations.

    Strengths

    • +Categorization rules reduce the time spent on monthly bookkeeping
    • +Most accountants and tax preparers already work in it
    • +Clear upgrade path from 1 user to 25 users on Advanced

    Drawbacks

    • −Simple Start is limited to 1 user
    • −Regular prices are high once the 3-month discount ends
    • −The free tier has no mobile app or third-party integrations

    Zoho Books

Zoho's accounting software, with a free plan for micro businesses and paid tiers priced per organization.

    Price

Free plan for 1 user plus 1 accountant; Standard $15 per organization per month billed annually, Professional $40, Premium $60

Quoted from the Zoho Books pricing page on November 6, 2026: STANDARD Efficiently organize your transactions, accounts, reports, and books $ 20 $ 15 Price/Org/Month

Zoho Books gives more on its cheap tiers than any other tool here. The free plan, aimed at solopreneurs and micro businesses, covers invoices, quotes, expenses, journals, bank reconciliation, recurring invoices, mileage, a customer portal and over 50 reports, plus W-9 tracking and 1099 preparation. That is enough for a one-person business to keep proper books without paying. Standard at $15 per organization per month billed annually is the plan most owners will want, because it adds connected bank feeds, sales and use tax tracking, 1099 e-filing, transaction period locking and custom reports, with three users and phone and chat support. Professional at $40 adds inventory, projects, purchase orders and multi-currency for businesses that sell goods. The tradeoff is breadth: Zoho Books has many settings and modules, so the first week takes more setup than Wave or FreshBooks. If you already use other Zoho apps, it fits in naturally.

    Strengths

    • +The free plan is a working double-entry ledger, not a trial
    • +Standard includes 3 users and phone and chat support
    • +Prices are per organization, so small teams avoid per-seat charges

    Drawbacks

    • −Connected bank feeds need Standard or higher
    • −Add-ons are not available on the free plan, apart from document autoscans
    • −The many modules can make setup feel heavier than Wave or FreshBooks

    Price

Early $27 per month, Growing $59, Established $97; 80% off the first 3 months on the current offer

Quoted from the Xero pricing page on November 6, 2026: Early $ 5 . 40 per month for the first 3 months Then $27 per month

Xero suits owners who expect other people to touch the books, because none of its plans charge per user. Every plan includes bank reconciliation, Smart Document Capture for receipts and bills, real-time reports, W-9 and 1099 management, sales tax and free domestic ACH bill payments, and Xero includes free expert setup help. Early at $27 per month is the entry point, but it limits you to 20 invoices and 5 bills, so it fits businesses with a handful of clients. Growing at $59 removes those limits and adds auto-reconcile, performance dashboards, budgets and a 60-day cash flow forecast, which is where most active small businesses will land. Established at $97 adds multiple currencies, project time and cost tracking and employee expense claims. Payroll comes through Gusto as an add-on. The three-month discount is large, so compare the regular prices with QuickBooks before deciding.

    Strengths

    • +No per-user license fees on any plan
    • +Free expert setup help is included
    • +Domestic ACH bill payments are free on every plan

    Drawbacks

    • −Early caps you at 20 invoices and 5 bills

    Price

Starter plan free; Pro $19 per month billed monthly or $190 per year

Quoted from the Wave pricing page on November 6, 2026: It’s Pro time. $19 USD/month Billed monthly

Wave is the easiest way for a new business to start keeping proper books without paying. The Starter plan includes unlimited estimates, invoices, bills and bookkeeping records, a cash flow dashboard and a mobile app for invoicing, all on real double-entry accounting that your tax preparer can work with. The catch is that Starter does not import bank transactions automatically, so you enter or upload them yourself. Pro at $19 per month, or $190 per year, adds automatic bank import, merging and categorization, unlimited receipt capture and late payment reminders, and it drops the fixed fee on card payments, so Starter's 2.9% plus $0.60 becomes 2.9% plus $0. Wave keeps the feature set small: there is no inventory, project accounting or multi-currency depth like Zoho Books or Xero offer. For a sole owner with simple income and expenses, that simplicity is the appeal, and Wave Advisors is there if you later want to hand the books off.

    Strengths

    • +Starter is free with unlimited invoices and records
    • +Very little to learn for owners new to bookkeeping
    • +Pro lowers the card fee to 2.9% with no fixed fee

    Drawbacks

    • −Starter has no automatic bank import
    • −Fewer reports and controls than QuickBooks, Xero or Zoho Books
    • −No inventory or project accounting

    FreshBooks

    Price

Lite $23 per month, Plus $43, Premium $70; 80% off the first 4 months on the current offer

    Quoted from the FreshBooks pricing page on November 6, 2026: Was $23.00 | Save $73.60 $ 23 .00 USD/mo

FreshBooks is built for owners whose books start with client work. Every plan sends invoices and estimates, tracks expenses in real time, takes card, ACH, digital wallet and Buy Now, Pay Later payments, and produces tax-time reports. For a consultant, designer or tradesperson, that covers most of the bookkeeping, and the screens are the friendliest on this list. The limits are in the tiers. Lite at $23 per month bills only five clients, so many businesses need Plus at $43, which raises the cap to 50 clients and adds financial and accounting reports, receipt scanning, proposals, retainers and accountant access. Premium at $70 removes the client cap and adds project profitability and bill line-item capture. Team members cost $11 each per month, and payroll is a $40 add-on plus $6 per user. Owners with inventory or complex bank activity will find QuickBooks, Xero or Zoho Books deeper on the accounting side.

    Strengths

    • +Clean invoicing and time tracking that clients find easy to pay
    • +Tax-time reports on every plan
    • +30-day free trial and a 30-day money-back guarantee

    Drawbacks

    • −Lite can bill only 5 clients
    • −Accounting reports and accountant access start on Plus at $43
    • −Each team member costs $11 per month
    Lite

    Price

See vendor pricing (USD check pending); free Starter plan available

We could not confirm a US price yet. Check the ZipBooks pricing page.

ZipBooks keeps accounting simple and starts free. The Starter plan sends unlimited invoices, manages unlimited vendors and customers, accepts Square or PayPal payments, shows basic reports and connects one bank account. Smarter adds recurring invoices with auto-bill, automated reminders, saved line items, multiple bank accounts, time tracking and up to five team members. Sophisticated adds smart tagging by location or project, quick account reconciliation, locking of completed books, secure document sharing, fuller reports and unlimited users. ZipBooks also records 1099 payments, supports cash and accrual reporting and connects to Gusto for payroll. The main weakness for an owner doing their own books is that reconciliation and book locking sit on the top tier, which are habits every business should have. We could not confirm a US dollar price from the pricing page text as fetched, so its paid prices are marked pending here.

    Strengths

    • +Starter is free with unlimited invoices
    • +Smarter adds 5 team members and time tracking
    • +Sophisticated allows unlimited users

    Drawbacks

    • −Starter connects only 1 bank account
    • −Account reconciliation and book locking sit on the top tier

    Price

One plan at $30 per month; 50% off the first 6 months on the current offer

Quoted from the Kashoo pricing page on November 6, 2026: $ 30.00/Mo Start my free trial → Prices in USD

Kashoo removes the tier decision. Its single plan includes unlimited invoices, online payments, expense and bill tracking, sales tax, bank feeds, project and item tracking, multi-currency, unlimited attachments, two-factor authentication and a double-entry ledger, and Kashoo says it connects to more than 5,000 banks and credit unions through Plaid. Users are unlimited at no extra charge, so you can invite an accountant, bookkeeper and staff without changing the bill. The price is $30 per month, with a current offer of half off the first six months, and the 14-day trial needs no credit card. Kashoo integrates with Square and Stripe for payments and PaymentEvolution for payroll. The limits are mostly around scale: each extra business needs its own subscription, and there is no free tier. For an owner who wants a straightforward ledger and dislikes plan comparisons, Kashoo is easy to justify.

    Strengths

    • +One plan, so there is no tier to outgrow
    • +Unlimited users at no extra charge
    • +14-day trial with no credit card

    Drawbacks

    • −Each additional business needs its own subscription
    • −No free plan

    Price

Standard $12 per month, Premium $36, Elite $84; lower when billed yearly

Quoted from the Akaunting pricing page on November 6, 2026: Best for one-person businesses $12 per month

Akaunting has the lowest regular entry price here, but read the plan details before choosing it for your own books. Standard at $12 per month is for one-person businesses: one company, one user plus one accountant, 1,000 invoices, four included apps, unlimited customers, vendors and reports, and multiple currencies. It does not include double-entry accounting or bank feeds, which most owners doing their own books will want. Those arrive on Premium at $36 per month, together with expense claims, roles and permissions, a client portal and room for 10 companies and 10 users. Elite at $84 adds estimates, payroll, projects, inventory, receipt scanning and Shopify and Stripe apps. Yearly billing lowers each price. The app-store model lets you add only what you need, but the base product needs more assembly than QuickBooks or Zoho Books, and support is by ticket rather than phone.

    Strengths

    • +Lowest regular paid price on this list
    • +Premium covers 10 companies and 10 users
    • +Extra features can be added from the app store

    Drawbacks

    • −Standard has no double-entry or bank feeds

What to check before you buy

Start from the job you do every week

Owners who do their own books spend most of their time matching bank transactions and chasing invoices. Pick the tool that makes those two jobs fastest. QuickBooks Online and Wave Pro categorize imported transactions for you, Xero adds auto-reconcile from its Growing plan, and FreshBooks is built around invoices, time and expenses.

Check that bank feeds are on the plan you will buy

Manual entry is where DIY bookkeeping falls apart. Wave Starter is free but automatic bank import needs the $19 Pro plan. Zoho Books Free includes bank reconciliation, but connected bank feeds start on Standard. Akaunting Standard has no bank feeds or double-entry; both start on Premium at $36 per month.

Watch the limits on entry plans

Cheap tiers are capped in ways that matter. Xero Early allows 20 invoices and 5 bills, FreshBooks Lite bills up to 5 clients, QuickBooks Simple Start is for one user, and Akaunting Standard is for one user and 1,000 invoices. Count what you sent last year before you choose.

Plan for your tax preparer

Your books are only as useful as the reports you hand over. Every paid plan here produces a profit and loss report, and QuickBooks, Zoho Books, Xero and FreshBooks Plus let you invite an accountant. If you pay contractors, Zoho Books and Xero include W-9 and 1099 management on their entry plans.

Read the promo price and the regular price

QuickBooks, Xero, FreshBooks, Wave and Kashoo all advertise introductory discounts that last three to six months. Budget for the regular price, which is the figure we use for ranking and comparison, and check whether annual billing lowers it further.

Common questions

What is the best accounting software for a small business owner who does their own books?
QuickBooks Online is our top pick, with automated categorization and Simple Start at $38 per month. Zoho Books is the best value, with a free plan and Standard at $15 per organization per month billed annually, and Xero is the best choice if several people need access, because it has no per-user fees.
Is there free accounting software for small businesses?
Yes. Wave Starter is free with unlimited invoices and bookkeeping records, Zoho Books Free covers 1 user plus 1 accountant with bank reconciliation and 1099 filing, and ZipBooks Starter is free with 1 bank account. QuickBooks also offers a free tier without the mobile app or integrations.
What is the cheapest paid accounting software?
Akaunting Standard has the lowest regular price at $12 per month, but it has no double-entry or bank feeds. Among plans with bank feeds, Zoho Books Standard at $15 per organization per month billed annually and Wave Pro at $19 per month are the cheapest we compared.
Can I do my own bookkeeping with accounting software?
Yes, if you set aside time each week to categorize transactions and reconcile your bank accounts. Bank feeds and categorization rules make that much faster, so choose a plan that includes them, such as Wave Pro, Zoho Books Standard, Xero or QuickBooks Online.
Which accounting software do accountants prefer?
We did not survey accountants. In practice, QuickBooks Online and Xero both have large accountant and bookkeeper partner programs, and Xero says 250,000 accountants and bookkeepers work with it. Ask your own tax preparer which file format they want before you choose.
How did we rank this accounting software?
We compared documented features and published prices from each vendor's own pages. Each tool gets scores for features, ease of use and value, and the overall score weights them 35, 35 and 30.
