This list is for therapists, counselors and group practice owners choosing one system for scheduling, progress notes, insurance claims, client payments and telehealth. We compared documented features and published prices for 9 behavioral health practice management systems and scored each on features, ease of use and value. Prices are the cheapest paid plan in US dollars as shown on the vendor's own page on the date we checked; where a vendor sells by quote or shows prices in another currency from our location, the price is marked as pending. Most therapy software is priced per clinician, and claims, reminders and AI notes are often billed on top, so add up the extras you will use before comparing headline prices.

Price
Starter $49 per month; Essential $79; Plus $99 for the first clinician and from $74 per additional clinician
Quoted from the SimplePractice pricing page on November 6, 2026:
then $49 billed monthly
SimplePractice takes the top spot because its cheapest plan already covers the work most private practice therapists do every week. Starter at $49 a month includes unlimited clients, progress notes, telehealth, online payments, paperless intake, Insurance Essentials, a client portal and an EHR mobile app, plus basic diagnosis and treatment plans and integrated measurement-based care. Essential at $79 adds appointment reminders, calendar sync, secure messaging and Wiley Treatment Planners, which is the plan most solo clinicians will end up on. Plus at $99 adds group appointments, group telehealth and advanced analytics, and lets you add clinicians from $74 each. The Care Aide add-on bundles AI progress notes, live telehealth support and treatment planning help. The downsides are cost creep: reminders sit behind the middle tier, and AI, ePrescribe and the Insurance Navigator claim service all add fees, so a fully loaded account costs more than TherapyNotes or Sessions Health.
Strengths
- +Telehealth, online payments and an EHR mobile app are included on the cheapest plan
- +Clear published prices for solo and group plans
- +Wide add-on menu covering AI notes, ePrescribe and insurance help
Drawbacks
- −Appointment reminders and secure messaging need the $79 Essential plan
- −Group appointments and group telehealth require the $99 Plus plan
- −AI and ePrescribe add-ons raise the monthly bill noticeably

Solo $69 per month for one user; Group $89 for the first clinician plus $60 per additional clinician
Quoted from the TherapyNotes pricing page on November 6, 2026:
Solo $69 /month for one user
TherapyNotes is the runner-up and the pick for practices that live on insurance billing. Every plan includes unlimited clients, appointments and notes, a custom client portal, secure client and staff messaging, basic telehealth, unlimited file storage, a mobile companion app and free data import from another EMR. Pricing is simple: $69 a month for a solo user, or $89 for the first clinician and $60 for each additional one on group plans, with non-clinical staff free. Billing is pay as you go at 25 cents per electronic claim, 9 cents per claim on ERA and 14 cents per eligibility request, and reminders cost 14 cents per text or call with email reminders free. Add-ons include Premium Telehealth, TherapyFuel, ePrescribe and MIPS reporting. Support is a real differentiator, with phone and email help every day of the week. The trade-off is that per-use fees add up for high-volume practices, and the solo price is higher than several rivals here.
Strengths
- +24/7 phone and email support included with every plan
- +Non-clinical staff accounts are free on group plans
- +Free client data import from another EMR and no signup fee
Drawbacks
- −Claims, eligibility checks and text reminders are billed per use
- −Solo plan is $20 more than SimplePractice Starter
- −Premium telehealth features cost extra per clinician

Price
Free for up to 3 clients; Professional $39 per month plus $29 per additional practitioner
Quoted from the Sessions Health pricing page on November 6, 2026:
Professional $39 per month
Sessions Health ranks third because it delivers the core of a therapy EHR at the lowest fixed price on this list. The Professional plan costs $39 a month for the first practitioner and $29 for each additional one, with unlimited clients, unlimited administrators and free data import from another EHR. It covers custom forms and note templates, auto-scored assessments, treatment plans, two-way calendar sync, email and SMS reminders, payment processing, insurance billing and a secure client portal for intake, payments, messaging and appointment requests. A permanent free plan handles up to 3 clients for one practitioner, which suits clinicians just starting out. Extras are priced openly: telehealth for up to 4 participants is $10 a month per practitioner, electronic claims start at $0.25 and fall with volume, eligibility reports cost $0.15, and the AI Assist documentation suite is $35 a month. It has fewer advanced group features and analytics than SimplePractice or TherapyNotes, but for a solo practice the math is hard to beat.
Strengths
- +Permanent free plan for up to 3 clients
- +Unlimited administrators on the Professional plan
- +No long-term contracts and free data import
Drawbacks
- −Telehealth and AI Assist are paid add-ons
- −Free plan has no administrator seats
- −Claims and eligibility checks are billed per use

Essentials $29, Advanced $59 and Premier $89 per therapist per month; lower rates on yearly billing
Quoted from the TheraNest pricing page on November 6, 2026:
TheraNest plans are $29, $59, or $89 per therapist per month, with unlimited clients on every plan.
TheraNest, now part of Ensora Health, earns its place with clear per-therapist pricing and an insurance-friendly top tier. Essentials at $29 per therapist a month covers scheduling, a secure client portal, calendar sync, basic intake forms and notes, the Ensai notes enhancement and card payments. Advanced at $59 adds online booking, secure messaging, custom intake forms and unlimited individual and group telehealth, along with 50 free claims, eligibility checks and reminders per practice each month. Premier at $89 is the interesting plan for insurance-based practices: it adds billing automation, the Wiley Practice Planner and unlimited claims, eligibility checks and text and phone reminders, subject to a fair usage policy. Yearly billing lowers each tier slightly. Add-ons include AI notes and case summaries, eRx with PDMP for prescribers and credentialing help. The catch is that the $29 entry price leaves out telehealth, online booking and messaging, so most practices will compare the $59 tier with rivals.
Strengths
- +Unlimited clients on every plan
- +Premier bundles unlimited claims and eligibility checks under a fair usage policy
- +Advanced includes 50 free claims, eligibility checks and reminders per practice each month
Drawbacks
- −Telehealth is an add-on on the Essentials plan
- −Online booking and secure messaging need the $59 Advanced plan
- −Prescribing requires a setup fee plus a monthly add-on

Price
From $10 per month until 10 sessions, $39 until 39 sessions, then $59; group plan $59 plus $39 per extra clinician
Quoted from the TherapyAppointment pricing page on November 6, 2026:
TherapyAppointment plans start at $10 per month
TherapyAppointment uses a pricing model that suits clinicians building a caseload. After a 30-day free trial, a solo practice pays $10 a month until it books more than 10 sessions, $39 until it books more than 39, and then the standard $59 rate. Group plans cost $59 plus $39 per additional clinician. Every plan includes the full feature set: free administrative accounts, free appointment reminders, a secure client portal, client self-scheduling, automated new client intake with e-signatures, two-way calendar sync, paperless assessments and progress notes, automated billing and payments, free ERA posting and support for multiple locations. Insurance costs are low at 15 cents per electronic claim, paid to Office Ally, and 7 cents per benefits lookup. Add-ons include AI Notes at $0.59 per chart note, integrated telehealth at $15 a month per provider and ePrescribe. Busy solo practices end up near the price of TherapyNotes, and telehealth is not bundled, but early-stage therapists get a full system for very little.
Strengths
- +Intro pricing starts at $10 a month for very small caseloads
- +Every feature is included on every plan
- +Low per-claim and eligibility fees
Drawbacks
- −Standard rate rises to $59 a month once you book 40 sessions
- −Telehealth costs $15 a month per provider
- −Group practices pay an extra $10 a month if under 11 sessions
- Starting price
- $10 a month until 10 sessions
- Standard rate
- $59 a month after 40 sessions
- Group plan
- $59 plus $39 per extra clinician

Jane is built for clinics rather than for therapy alone, which is its strength and its limit here. Every plan includes online booking through a custom-branded site, unlimited admins and locations, 1:1 appointments, group appointments and classes, 1:1 telehealth, secure messaging, email reminders, intake forms, custom charting templates and outcome measure surveys, plus 5 free AI Scribe notes. The Balance plan covers one practitioner with up to 20 appointments a month, Practice removes the appointment cap and adds free SMS reminders and timesheets, and Thrive adds room and equipment scheduling, self check-in, automated waitlists, return visit reminders and packages. Part-time practitioners cost less than full-time ones, which helps clinics with mixed schedules. Add-ons cover unlimited AI Scribe, group telehealth, insurance billing and payroll. From our location the pricing page showed Canadian dollars only, so the USD price is pending. There is no free trial, and US insurance-based therapy practices will find more billing depth in TherapyNotes or TheraNest.
Strengths

- +Lower fees for part-time practitioners
- +Strong online booking and scheduling for multi-practitioner clinics
Drawbacks
- −No free trial, only a demo

Quoted from the Practice Better pricing page on November 6, 2026:
Starter $25/month (annually) $35/month (monthly)
Practice Better is a good option for therapists whose work goes beyond one-to-one sessions. Every paid plan includes scheduling, telehealth video chat, integrated billing and payments, secure messaging, a client portal, forms and note templates and more than 20 integrations. Starter costs $25 a month on annual billing or $35 monthly, but caps you at 10 clients and 1 GB of storage. Professional raises that to 300 clients and adds group scheduling, group messaging, fixed-date programs, payment plans and Zapier. Plus brings unlimited clients, 3 admin licenses, SMS reminders, broadcast messaging, a fax number and evergreen and self-paced programs. The Team plan starts with 2 practitioner licenses and adds custom roles, a shared calendar, team chat and team reporting. A free Sprout plan suits students. Practice Better is clearly designed with dietitians and coaches in mind, and insurance-based therapy groups will find TherapyNotes, TheraNest or Sessions Health a closer fit.

- +Programs and courses can be sold alongside sessions
Drawbacks

Part-time Notes Only from $35 per month; Non-Prescribing $45 part-time or $75 full-time; Prescribing from $138; $99 activation fee
Quoted from the ICANotes pricing page on November 6, 2026:
Efficient, compliant note-taking made easy. $35/mo
ICANotes focuses on clinical documentation for behavioral health, and its plans reflect that. Notes Only costs $35 a month for part-time clinicians with 60 notes a month, or $55 for unlimited notes, and gives you pre-configured templates for progress notes, treatment plans and assessments. Non-Prescribing, the plan most therapists will want, adds scheduling with automated reminders, secure messaging, a HIPAA-compliant client portal, billing tools and outcome reporting for $45 part-time or $75 full-time. Prescribing adds e-prescribing, medication management and lab ordering from $138. Telehealth is $20 per user a month, an AI Scribe add-on is available, and non-clinical users have their own pricing. A $99 activation fee applies, and claims, text reminders and statements are quoted by sales rather than published, which makes the full cost harder to compare. ICANotes ranks below the therapy-first systems on ease of use and transparency, but practices with psychiatrists will value its prescribing depth.
Strengths
- +Cheaper part-time plans with monthly note limits
- +Strong fit for psychiatric prescribers
- +A Notes Only plan for clinicians who bill elsewhere
Drawbacks
- −A $99 activation fee applies
- −Claims, text reminders and statements are priced by sales contact
- −Part-time plans cap notes at 60 or 100 a month
- Notes Only
- $35 part-time, $55 full-time a month

We could not confirm a US price yet. Check the Valant pricing page.
Valant is the most program-oriented system on this list. It runs clinical care, billing and the patient experience on one platform built only for behavioral health, and it supports intensive outpatient and partial hospitalization programs as well as standard outpatient care. Clinical tools cover documentation, group therapy, treatment planning, integrated outcome measures and ePrescribing. Practice management covers billing, utilization review, consent and intake forms, prospective patient management, scheduling and reporting, and patients get the MYIO portal, telehealth, integrated communications and online bill pay. Valant can also take over billing through its revenue cycle management service. The drawback for smaller practices is pricing: Valant publishes no plans and builds quotes around provider license counts, specialty and add-ons, so you cannot compare it without a sales call. It ranks last on value for that reason, not for lack of features.
Strengths
- +Supports outpatient, IOP and PHP levels of care
- +Built only for behavioral health
- +Optional outsourced billing service
Drawbacks
- −Pricing is quote only
- −No published self-serve plan for solo therapists
- −More setup than lighter therapy tools
- Pricing
- Custom quote by provider licenses and add-ons
- Levels of care
- Outpatient, IOP and PHP
- Customers
- 3,600+ practices and 22K+ clinicians (vendor figure)
- Billing service
- Optional revenue cycle management
What to check before you buy
Price the extras, not just the plan
Headline prices rarely include everything. TherapyNotes charges 25 cents per electronic claim and 14 cents per text or call reminder, Sessions Health charges from $0.25 per claim and $10 a month for telehealth, and SimplePractice sells AI notes and ePrescribe as add-ons. TheraNest Premier includes unlimited claims, eligibility checks and reminders under a fair usage policy, which can work out cheaper for insurance-based practices.
Check how each vendor counts clinicians
Group pricing differs a lot. TherapyNotes charges $89 for the first clinician and $60 for each additional one with free non-clinical staff, SimplePractice Plus adds clinicians from $74 each, Sessions Health adds practitioners at $29 a month, and TherapyAppointment adds $39 per clinician on its group plan. Jane and ICANotes charge less for part-time practitioners.
Decide whether you need built-in telehealth
SimplePractice and TherapyNotes include telehealth in every plan, with a premium tier at TherapyNotes for $15 a month per clinician. TheraNest includes unlimited individual and group telehealth from the Advanced plan, while Sessions Health, TherapyAppointment and ICANotes sell it as an add-on. If you already pay for a HIPAA video tool, an add-on model can save money.
Look at AI note tools and their cost
Most vendors now sell AI documentation. SimplePractice Note Taker is $35 a month, Sessions Health AI Assist is $35 a month per practitioner, ICANotes AI Scribe is $49 a month per user, Jane AI Scribe is $15 a month per practitioner, and TherapyAppointment charges $0.59 per AI chart note. Confirm your state and licensing board rules on recording sessions before you switch it on.
Match the system to your clinical scope
Therapy-only practices are well served by SimplePractice, TherapyNotes, TheraNest, Sessions Health and TherapyAppointment. Practices with psychiatrists or nurse practitioners should look at ICANotes, Valant or the ePrescribe add-ons from TherapyNotes and SimplePractice. Clinics that mix therapy with physiotherapy or other disciplines may prefer Jane, and coaches or nutrition-focused practitioners may prefer Practice Better.
